Booking terms, in plain language

Who you are contracting with

Sotavento Villas, Inc., a Delaware, USA company operating from Cancún, Quintana Roo, México, acts as the booking agent for each villa's owner or operator. Your reservation is governed by the Vacation Rental Agreement you accept at checkout.

Payment schedule

Check-in within 60 days of booking: 100% is due now to confirm.

Check-in later than 60 days: a 50% deposit within 48 hours, and the balance no later than 60 days before check-in.

Bank transfer (wire/ACH in USD to our U.S. account, or SPEI in MXN) has no fee; card payments carry a 3.5% bank fee. Charges appear as SOTAVENTO VILLAS on your statement. With a transfer we hold the villa for 48 hours while the funds arrive.

Cancellation

Full refund if you cancel within 48 hours of booking and check-in is 90+ days away, or if you cancel at least 90 days before check-in (120 days for arrivals between Dec 15 and 27).

Stays that include Dec 28 – Jan 15, and holiday periods marked as non-refundable, are strictly non-refundable.

After those deadlines, payments are 90% non-refundable. A no-show counts as a cancellation on the arrival date; early departure earns no refund or credit.

Taxes and fees shown before you pay

Every quote is itemized before payment: lodging, 3% lodging tax, 16% VAT, 3% service charge and a US$199 damage insurance. Quintana Roo's Visitax is paid separately by each traveler. Prices are quoted in the stated currency (USD or MXN).

Security deposit and damages

When the reservation states it, a refundable security deposit (or a card on file) applies. Any damage is documented within 14 days of check-out with verifiable evidence and shared with you before any charge; the deposit is returned within 14 days of check-out.

Occupancy, visitors and events

The maximum number of guests is the one in your reservation. Extra people or day visitors without written authorization incur US$500 per person per night. Events and parties require prior written approval and an event fee.

Force majeure

If an officially declared force-majeure event (e.g. a hurricane closing the destination or airport) prevents the stay, you receive a credit to rebook within 12 months, subject to availability and seasonal difference. If the villa becomes unavailable for reasons unrelated to you, we relocate you to an equal or better villa or, if you prefer, refund in full.
